About this
Bank statements — the core income document
Gather complete statements for every business account that receives operating deposits. "Complete" means every page — even blank pages that the bank includes between account sections. Online portals let you download PDF statements; use those rather than screenshots or email-forwarded statements.
If you have multiple business accounts (operating checking, payroll account, savings reserve), include all of them. The lender aggregates deposits across all accounts to calculate the monthly average.
CPA letter — optional but valuable
A CPA letter documenting your actual expense ratio is optional, but it's worth requesting from your accountant before applying. If your real overhead is below 50%, the letter raises your qualifying income. The letter should be on CPA letterhead, state the business name and EIN, describe the nature of expenses, and document the expense-to-revenue ratio for the look-back period.
Business entity documents
Most lenders require proof that the business exists and that you are its owner or operator. For an LLC: operating agreement + certificate of formation. For an S-corp: articles of incorporation or state filing confirmation + a K-1 or 1120-S showing your ownership percentage. For a sole proprietorship: DBA registration or a business license.
Reserves documentation
Reserves are liquid assets held after closing. The lender wants to verify you have 3–12 months of PITIA in accessible accounts. Download recent statements for checking, savings, and brokerage accounts. Retirement accounts qualify with a haircut.
What you don't need
No federal tax returns. No W-2s. No pay stubs. The bank statement program was designed specifically to bypass the Schedule C income calculation — those documents are not part of the income qualification process, though lenders may review tax returns for context on entity structure or large unusual items.
Common questions
- Do I need business and personal bank statements?
- Typically business statements are the primary document. Personal statements may be requested if some business income flows through a personal account, or for reserve verification. Discuss with your officer which accounts are needed for your specific file.
- What format are bank statements accepted in?
- PDF downloads from your bank's online portal are the cleanest format. Lenders require complete statements — every page — not screenshots or partial exports. Email attachments from the bank are acceptable if they're complete PDF exports.
- What if I don't have 24 months of statements?
- Some programs accept 12 months. Newer businesses or owners who recently switched banks to a current account may use 12 months for programs that accept a shorter look-back. The matcher identifies which programs fit your available history.
- What is a CPA letter and what should it say?
- A CPA letter is a signed document on CPA letterhead stating the business name, EIN, nature of expenses, and the documented expense-to-revenue ratio for the look-back period. It overrides the 50% expense-factor default when your actual ratio is lower.
- How long does document collection typically take?
- Most borrowers can gather bank statements within a week if they use online banking. Business entity documents are typically available immediately.
